1. Introduction & Scope

Welcome to KTronics (“we,” “our,” or “us”). We are committed to protecting your
personal privacy and providing clear, transparent information on how your data
is handled.

This Privacy Policy applies to:

The KTronics Mobile Application (Android and iOS)
The KTronics Web and Admin Portal
KTronics ESP32-based Smart IoT Hardware Controllers (Water Level Controllers,
Motor and Pump Automation Units, and related devices)
Any associated cloud services, APIs, and background monitoring tools
(collectively, the “Services”).

By installing, registering, accessing, or using any part of the Services, you
acknowledge that you have read, understood, and agree to the terms described in
this Privacy Policy.

Information we collect

A. Account and Credential Data

Customer / Main Account: When an administrator or technician creates your
account, we store your selected username and a cryptographically hashed
version of your password. We never store or transmit your password in
plain text.
Family / Child User Accounts: Main account holders may create secondary
family logins directly from the mobile application. These usernames and
hashed passwords are treated with identical security standards.
Account Timestamps: Account creation date, last active timestamps, and
device-binding associations.

B. IoT Device Telemetry and Operating Data
When your KTronics hardware is powered on and connected to our cloud service
or your local network, the following technical and operational telemetry is
collected and processed:

Device Identifiers: Unique hardware device key / serial number
(e.g., KTRONICS-xxxx) and custom device names assigned by you (e.g.,
“Rooftop Tank”, “Sump Pump”).
Real-time Water & Motor Levels: Water level indicators (0%, 25%, 50%,
75%, 100%), motor state (ON / OFF), mode setting (Automatic / Manual),
flow sensor status (flow detected / flow ok), and tank full alarm states.
Fault and Diagnostic Alarms: Low sensor probe fault, mid sensor probe
fault, upper sensor probe fault, and dry-run alerts.
User Configurations: Scheduled motor timer slots (7-day weekly schedule)
and dry-run timeout / auto-retry parameters.
Motor Operational Event Logs: Transition logs recording motor start time,
stop time, trigger type (manual switch, automated schedule, or water level
trigger), and water percentage at start/stop.

C. Network, Local Connectivity & Notification Data

Local Network IP & Wi-Fi SSID: Used locally on your device to discover and
provision hardware controllers on the same local area network.
Push Notification Tokens: Firebase Cloud Messaging (FCM) registration
tokens are stored and linked to your active device subscription to deliver
urgent push notifications to your mobile phone.

Mobile app permission and why they are required

The KTronics mobile application requests specific device permissions strictly to
deliver core hardware functionality. We adhere strictly to data minimization:

Location Permission (Android: ACCESS_FINE_LOCATION, ACCESS_COARSE_LOCATION):
- Purpose: Required solely by the Android operating system to allow the app
  to read the connected Wi-Fi network name (SSID/BSSID) and scan the local
  subnet to discover nearby KTronics ESP32 controllers.
- Important Notice: KTronics DOES NOT track, record, log, or share your
  physical GPS location or geographic movements. Location permission is
  utilized exclusively for local Wi-Fi hardware discovery.
Nearby Wi-Fi Devices (Android 13+: NEARBY_WIFI_DEVICES):
- Purpose: Required by modern Android versions to scan for and connect to
  the temporary “KTRONICS” setup access point during initial Wi-Fi setup.
Local Network Access (iOS: NSLocalNetworkUsageDescription):
- Purpose: Required by Apple iOS to communicate directly with your KTronics
  controller over your local home Wi-Fi network without unnecessary cloud
  relay latency.
Push Notifications (Android 13+: POST_NOTIFICATIONS, iOS Notification Alert):
- Purpose: Required to deliver immediate, real-time alerts to your smartphone
  when tank water levels change, when the tank reaches full capacity, when dry
  run or water flow issues occur, or when sensor faults are detected.
Background & Foreground Service (Android: FOREGROUND_SERVICE, DATA_SYNC):
- Purpose: Allows the application to maintain periodic connectivity to receive
  urgent hardware state alerts even when the app is minimized or running in
  the background.

How we use your information

We process collected data exclusively for operational and security purposes:

Hardware Remote Control: To transmit commands (Motor ON, Motor OFF, Mode
Switch, Scheduler Configuration, Dry-Run settings) to your hardware.
Real-Time Monitoring: To display live tank water levels, motor statuses,
and sensor health on your mobile and web dashboard.
Critical Alarm Delivery: To alert you immediately of high water levels,
dry-run conditions, motor shutdowns, and probe faults.
Diagnostic Auditing: To display operational motor logs so that you and
authorized technicians can verify runtime hours and water usage patterns.
Access Control: To verify that only authorized accounts and registered
family members can control your assigned hardware units.

Data sharing & third party apps

WE DO NOT SELL, RENT, TRADE, LEASE, OR MONETIZE YOUR PERSONAL DATA OR DEVICE
TELEMETRY WITH THIRD PARTIES, ADVERTISERS, OR DATA BROKERS.

Data is shared only with trusted infrastructure providers strictly necessary to
deliver the core service:

Google Firebase Cloud Messaging (FCM): Used to route encrypted push
notifications to your registered mobile device.
Cloud Server & Hosting Providers: Our backend APIs and databases are hosted
on secure cloud infrastructure to synchronize remote commands and maintain
heartbeats when you are away from your local Wi-Fi network.

We may disclose records only where strictly required by law, subpoena, or valid
governmental legal process.

Data security safegaurds

We apply robust industry-standard safeguards to secure your information:

Password Hashing: Account passwords are protected using industry-standard
cryptographic hashing algorithms (PBKDF2 with SHA-256) and salt protection.
Encrypted Network Transmission: All cloud communications between the mobile
app, web portal, and backend server occur over encrypted HTTPS / TLS channels.
Hardware Key Authorization: Every KTronics board requires explicit key
verification (printed on the hardware label) before it can be claimed or
controlled by any user account.

Data retention & account deletion

Operational Logs: Motor switching logs and heartbeat records are kept only
for reasonable audit and diagnostic periods and are routinely purged.
Account & Device Removal: Main account users may delete child/family user
accounts at any time directly through the mobile application settings.
Complete Account Deletion: You have the right to request full termination
of your account and permanent erasure of all associated data. To request
account deletion, please contact our support team at the email address below.
Upon verification, all account records, device linkages, and notification
tokens will be permanently deleted.

Children’s privacy

Our Services are not designed for or directed toward children under 13 years of
age (or under 16 where required by regional law). We do not knowingly solicit or
collect personal data from children. If you become aware that a minor has provided
us with personal information, please notify us immediately so that we can remove
such records.

Changes to this privacy policy

We reserve the right to modify or update this Privacy Policy at our discretion to
reflect system enhancements, new device functionality, or legal requirements.
Any modifications will be posted with an updated “Last Updated” timestamp. Your
continued use of the KTronics application or hardware following changes constitutes
acceptance of the revised terms.
